Going Out of Business

​​​If you or your company is no longer planning to operate and doesn’t need the applicable credentials, you will find instructions on how to discontinue those below.


Cancellation of a single license/Permit below will not automatically cancel all related license/Permit you hold. You will need to make contact with the appropriate state or Federal agency for each applicable credential. Failure to notify the Division of Motor Carriers regarding cancellation of their credentials will impose a delinquency fee.​

CREDENTIALS

Select the applicable credentials you currently possess. Click the name below to see detailed instructions:​

​If you no longer have vehicles with a Gross Vehicle Weight Rating (GVWR) or Combined Licese Weight (CLW) of 10,001 pounds or more, whichever is greater, you need to deactivate your DOT number via the FMCSA website​.​

To cancel your MC Operating Authority contact Federal Motor Carrier Safety Administration at 1 (800) 832-5660. You may also visit their website​ for additional options regarding this authority. ​​​​

If you no longer operate vehicles that have a combined licensed weight in excess of 59,999 pounds, you need to close the account in good standing by submitting your last tax return and marking “Ceased Operations” when filing electronically. If you have no outstanding delinquencies on the KYU, account you will be allowed to close the account in good standing and you will receive a correspondence advising that the account has been closed. Then proceed to the Motor Carrier Portal to delete your KYU inventory (The system will retain 1 vehicle to act as a “placeholder” on your account should you ever decide to begin your operations again.)

If you already filed your final return and didn't click "Yes" on the Ceased Operations step, please email tax.dmc@ky.gov to request to close your KYU.​  Be sure to include your KYU number in the email.

Once you receive the correspondence advising the account was closed in good standing, if you had a surety bond on file, please contact your surety company and advise them to forward the Division of Motor Carriers a cancellation notification of that bond. If you had a cash bond on file, you may be subject to a refund. To request a refund of your cash bond, you will need to submit a TC 95-616 form​. ​​​​​


​If you no longer operate vehicles that have a combined licensed weight in excess of 26,001 pounds, you need to close the account in good standing by submitting your last tax return and marking “Ceased Operations” when filing electronically. If you have no outstanding delinquencies on the KIT account, you will be allowed to close the account in good standing, and you will receive a correspondence advising that the account has been closed.

I​f you already filed your final return and didn't click "Yes" on the Ceased Operations step, please email tax.dmc@ky.gov to request to close your KIT.  Be sure to include your KIT number in the email.

Once you receive the correspondence advising the account was closed in good standing, if you had a surety bond on file, please contact your surety company and advise them to forward the Division of Motor Carriers a cancellation notification of that bond. If you had a cash bond on file, you may be subject to a refund. To request a refund of your cash bond, you will need to submit a TC 95-616 form​. ​​​​

​If you no longer operate vehicles that have a combined licensed weight in excess of 26,001 pounds, or power units with 3 or more axels regarless of weight you need to close the account in good standing by submitting your last tax return and marking “Ceased Operations” on the paper form, or contact ifta.dmc@ky.gov with a request to close the account after filing electronically.  Please include your DOT or IFTA account number in the email."​. You must also mail any unused decals to:

If you have no outstanding delinquencies on the IFTA account you will be allowed to close the account in good standing and you will receive a correspondence advising that the account has been closed.

​Once you receive the correspondence advising the account was closed in good standing, if you had a surety bond on file please contact your surety company and advise them to forward the Division of Motor Carriers a cancellation notification of that bond. If you had a cash bond on file, you may be subject to a refund. To request a refund of your cash bond you will need to submit a TC 95-616 form. ​​


If you hold an apportioned license plate(s) and are ceasing operations as an interstate carrier, you may be due a refund.  You must turn in any license plates, along with the original cab cards and submit a TC 95-624 form​


No actions are required to cancel the specific credential other than ensuring your Federal USDOT number is inactivated/deactivated.​
If you no longer pick up and drop off the same load within the borders of Kentucky, you should notify the Division of Motor Carriers that you no longer require this credential. You may e-mail the request to qp.dmc@ky.gov. You must include your Intra-For-Hire (or "K" number) and DOT number for the account​.
If you are ceasing operations as a Passenger Carrier and hold current plates and fee receipt card(s) you may be subject to a refund.  You will need to return any license plate(s) you have along with the original fee receipt card(s) and provide a written statement attesting that you are choosing to cease operations; your refund will be prorated. The statement must be signed by the sole proprietor, authorized officer, or registered agent listed with the Secretary of State and must include the Company Number (“P number) or Certificate Number (“C” number).​

​If you are ceasing operations as a Household Goods Carrier, provide a written statement attesting that you are choosing to cease operations. The statement must be signed by the sole proprietor, authorized officer, or registered agent listed with the Secretary of State and must include the Company Number (“H” number) or Certificate Number (“C” number). Mail the request to kytc.passhhg@ky.gov.​
